Renfrewshire Council

Remodelling of the Soft FM Service

We would like to take this opportunity to provide you with an update on the current status of the remodelling of the Soft FM Service.

During the Covid-19 Pandemic, our staff have delivered services in the following areas:

  • Delivery of the Council's Support Packages service
  • Enhanced support in care homes
  • Enhanced cleaning provisions
  • Preparation for the safe reopening of schools
  • Key worker hubs throughout
  • Supported delivery of the community meals service
  • Assisted in the reopening plans of key Council buildings

Additional cleaning staff have been recruited on a 6 month fixed term basis to meet additional cleaning requirements.

A special acknowledgement must go out to thank all staff within Soft FM who have been working hard to ensure services have been maintained over these difficult last few months. These have been challenging times for us all and the continued delivery of our services has contributed greatly to Renfrewshire Council's response both during the initial stages of the pandemic and during this current recovery phase.

Whilst this work has been taking place, we have been progressing the remodelling but the rollout programme has been delayed from our anticipated implementation date of August 2020.

We have, however, progressed with some of the recruitment processes and have included an overview of the new structure below.

You will see that there will now be 5 geographical clusters, each managed by a Senior Facilities Co-ordinator working with two Soft FM Team Leaders within each cluster. This will ensure there is more visible local management for all premises, as identified through the remodelling workshops held during May/June 2019. A support team of specialist areas has also been recruited.

The Senior Facilities Co-ordinator posts have now been appointed and the new postholders and their geographical area are shown below;

  • Cluster 1 - Paisley North/East - Michael Brackenridge
  • Cluster 2 - Paisley South West - Fiona Brown
  • Cluster 3 - Johnstone and the Villages - Julieanne Marshall
  • Cluster 4 Erskine/Houston area - Susan Allan
  • Cluster 5 Renfrew area - Joanne Cree

A summary of some of the next steps in the remodelling journey are

  • Aug 2020 - Dec 2020 - Roll out of the new uniform/PPE contract. Bunzl Greenham were awarded the contract through the tender process. They will visit all staff in each premises to organise the ordering process. Staff will receive 5 tops and 2 trousers for the new Soft FM roles.
  • Oct 2020 - Dec 2020 - Identification of new cleaning equipment needs
  • Oct 2020 to Mar 2021 - Recruitment process for all other roles within the remodel
  • Oct 2020 onwards - Roll-out of training
