Introducing the Purchase to Pay (P2P) programme

Hello everyone. I'm Annabel Travers, back at the Council to lead on the delivery of the Purchase to Pay (P2P) Programme. I wanted to introduce myself and provide you with a quick update about the work we are doing to scope, design and implement a new P2P Operating Model.

As a Council, we need to ensure that we have full and effective control over our procurement and financial activities. 

My goal is to work with services to create a strategic P2P Operating Model that will give us this control and deliver improved processes and compliance within all areas of the P2P cycle.

Benefits

It is anticipated that significant improvements to the user experience and savings can be realised through implementing a new P2P Operating Model.

Coupled with enhancements in technology, analysing data and workflow, the new P2P Operating Model will deliver an efficient service, create a simplified user experience, and promote stronger supplier relationships.

  • Simpler User Experience: We'll make our P2P Operating Model as user-friendly as possible, employing advanced tools and systems, simplified steps and seamless integrations with Business World ERP. Our aim is to empower you with efficient processes, easy-to-use tools and straightforward guidance.

  • Enforce Compliant Spend: We're setting a new standard for financial resources ensuring that spending does not exceed income. Our P2P Operating Model will utilise reliable methods for analysing data and automated protective measures to ensure every transaction meets the highest compliance standards and reduces risk. 

  • Less Manual Processing: Automation and smart technologies will be the cornerstone of our P2P Operating Model, reducing manual tasks and allowing focus on value added initiatives for the Council. 

  • Strong Supplier / Partner Relationships: We're committed to developing transparent and respectful relationships with our suppliers. Our P2P Operating Model will be designed to support long-term partnerships that foster mutual success and benefit our community. 

Feedback and next steps

All services and teams involved in the procurement process are represented on working groups and governance boards across the P2P Programme.

We will work closely with you to support a smooth transition to the new P2P Operating Model and are keen to hear your feedback.

Baseline surveys, which will help us better understand what existing users of the various ordering systems think. These will provide system users with the opportunity to tell us what currently works well and what doesn't, and your manager will share the survey with relevant colleagues in the coming weeks.

We are also working to identify P2P Champions across all teams and service areas to support messaging and colleagues with the transition to the new P2P process. If this is something you are interested in, then please talk to your line manager in the first instance.
